PMS Assistant

Description

The position is established for the purpose of supporting the Marine – Assets Division, and specifically the Team dealing with the technical support of the vessels managed by the Group. The candidate will be joining the current team to enhance the capacity and capability of the division in light of ever-increasing workload, providing support to Marine Technical Team, in order to effectively supervise and coordinate the maintenance status of the vessels. The candidate, together with the entire team will be supporting the other divisions and departments of the Group, with the preparation of the vessels for the execution of the projects contracted.

Main Responsibilities

  • Work in line with Group’s internal codes of professional conduct and ISM/ISPS/MLC policies, procedures and instructions, ensuring vessels are operated in a safe, efficient and environmental-friendly manner and in full compliance with Class and Statutory regulations as well as Client requirements
  • Maintain and update the PMS Database
  • Assist Marine Technical team to update PMS related technical details in PMS System
  • Review all the Database build in the PMS and make sure the jobs are as per makers manual/service letters
  • Assist the Vessel Managers with PMS system related issues for their vessels
  • Support the Vessel Managers with the PMS status monitoring and technical performance of their vessels
  • Assist in the scheduling and coordination of maintenance activities, acting as a liaison between Vessel Managers or Technical Superintendent and vessel crew
  • Monitor and coordinate PMS system related issues, with IT and Procurement departments
  • Provide technical support and guidance to vessel crew or maintenance teams on PMS related issues
  • Assist in crew familiarization and training on the PMS system
  • Participate in Vessel Management Team (VMT) meetings

Inter-departmental Communication:

  • Communication with vessels’ crews
  • Reporting to Supervisor and/or Division Director, as the case may be
  • Cooperation and communication with other Divisions and Departments of the Group in order to prepare vessels on all aspects for the execution of contracted projects

External communication:

  • Communicate with service providers and suppliers, Class, Flag Administration, auditors, chartered vessels

Requirements

  • A higher University or Technical Institute degree in a maritime, engineering, mechanical or technical related field
  • Land-based experience in similar position (Technical Department) or PMS software experience in the maritime industry would be beneficial
  • Clear and effective oral and written communication skills in English language, along with interpersonal skills to foster team work across diverse teams
  • Additional working knowledge of foreign language, (e.g. Italian, German, French etc.) is to be considered as extra skill
  • Proficient knowledge of Microsoft Office required
  • General knowledge of ISM, MLC and ISPS Codes, Classification, SOLAS Convention, MARPOL Convention and other pertinent IMO rules and guidelines
  • Sea-going experience to be considered as a plus
  • Organizational skills and attention to detail
